These Terms and Conditions govern the provision of services by Vietnam Asia Travel DMC (“VNA Travel DMC”) and outline your rights and obligations when booking or using our services. Please read these Terms and Conditions carefully. If you have any questions, we encourage you to contact us for clarification and, where appropriate, seek independent legal advice before agreeing to be bound by these terms.
By confirming a booking with VNA Travel DMC, you acknowledge that you have read, understood, and agreed to these Terms and Conditions. Payment of a deposit or the full booking amount constitutes acceptance of these Terms and Conditions on behalf of all travelers included in the booking.
For the purposes of these Terms and Conditions, the terms “Service” or “Services” include, but are not limited to: travel planning and consultation; domestic and regional airfare; cruises; charters; river boats; yachts and other water vessels; ground transportation; concierge services; hotel accommodations, resorts, camps, and other lodging arrangements; tours; transfers; leisure and adventure activities; expeditions; and any other travel or travel-related products and services offered, arranged, sold, or provided by VNA Travel DMC.
ELIGIBILITY
Travelers must be at least eighteen (18) years of age to purchase or book services from Vietnam Asia Travel DMC. Travelers under the age of eighteen (18) must be accompanied by a parent or legal guardian throughout the trip.
PRICES AND PAYMENTS
The prices provided in the Trip Proposal are for informational purposes only and do not constitute a confirmed booking. All quotations are based on the proposed hotel selections, room categories, transportation, and other travel arrangements available at the time of quotation. Prices are subject to change without prior notice due to availability, seasonal fluctuations, currency exchange variations, airfare adjustments, hotel rate changes, or other factors beyond the control of VNA Travel DMC until the booking is confirmed.
Unless otherwise expressly stated in the Trip Proposal or service description, the advertised price does not include the following:
- Personal expenses, including incidental charges and laundry services;
- Excess baggage fees;
- Passport, visa, or other travel documentation costs;
- Single room supplements;
- Travel insurance, including but not limited to medical coverage, personal accidents, lost baggage, and trip cancellation insurance;
- Tips, gratuities, and other voluntary service payments;
- Transaction fees, including any bank charges, transfer fees, or credit card processing fees related to payment for the services;
- Any activities, meals, services, or items not expressly specified as included in the Trip Proposal or service description.
Payment Methods
Vietnam Asia Travel DMC accepts payment through the following methods:
- International credit cards, including American Express, Visa, and MasterCard;
- Wire transfers /Revolut Transfers/bank transfers.

All bank charges, intermediary bank fees, transfer fees, and other transaction-related costs shall be borne by the Traveler unless otherwise agreed in writing.
Children Policy
Child rates apply only when the child shares a room or cabin with two (2) accompanying adults.
- Infants under two (2) years of age: charged at ten percent (10%) of the adult rate;
- Children from two (3) to eleven (11) years of age: charged at eighty-five percent (85%) of the adult rate;
- Children aged twelve (12) years and above: charged at the full adult rate.
Airfare for children is subject to the applicable policies and regulations of each airline. The final child airfare will be determined and confirmed at the time of booking.
RESERVATION OF SERVICES
A deposit is required at the time of booking services with Vietnam Asia Travel DMC. Unless otherwise specified in writing, the required deposit shall be twenty percent (20%) of the total booking value. The remaining balance must be paid in full no later than thirty (30) days prior to the departure date. Certain airfare categories, special promotions, or specific services may require full payment at the time of booking.
Full payment must be completed by the agreed payment deadline prior to the commencement of the services. Failure to make full payment within the specified timeframe may result in the automatic cancellation of the booking, and the applicable cancellation charges under VNA Travel DMC’s Cancellation Policy shall apply.
All services shall be deemed confirmed only upon receipt of full payment by VNA Travel DMC. The Company reserves the right to withhold, suspend, or refuse the provision of any services until full payment has been received. Any failure by the client to fulfill payment obligations shall not constitute a failure of service delivery by the Company.
The client shall be solely responsible for any additional costs, losses, or charges arising from delayed payment, including but not limited to price increases, penalties, currency exchange fluctuations, supplier-imposed fees, or other service-related surcharges.
VNA Travel DMC may, at its discretion, make advance payments to third-party suppliers in order to secure services on behalf of the client. Such payments may be non-refundable, non-transferable, and unrecoverable, depending on the policies of the respective suppliers.
By proceeding with the booking and making payment, the client acknowledges, understands, and agrees to these Terms and Conditions, including all applicable cancellation fees and payment obligations. These Terms and Conditions constitute a legally binding agreement between the client and VNA Travel DMC and may be relied upon in connection with any dispute, claim, or legal proceeding.
CANCELLATIONS AND ALTERATIONS POLICIES
Vietnam Asia Travel DMC understands that travel plans may change due to unforeseen circumstances. In the event that you need to cancel or modify your booking, the following policies shall apply.
In the event of cancellation, any refund payable by Vietnam Asia Travel DMC shall be subject to the applicable cancellation charges set out below. Cancellation charges are calculated based on the total booking value, and any deposit previously paid shall be applied toward such cancellation charges.
Free Date Changes
Vietnam Asia Travel DMC permits date changes free of charge, provided that:
- The request is submitted at least forty-five (45) days prior to the scheduled tour commencement date; and
- The revised travel dates are subject to availability of services, accommodations, transportation, and suppliers.
Up to forty-five (45) date changes may be permitted without administrative fees, subject to operational feasibility and supplier conditions.
Transfer of Payments as Credit for Future Tours
If the client is unable to travel, Vietnam Asia Travel DMC may allow the transfer of existing payments as credit toward a future tour, provided that written notice is received at least thirty (30) days prior to departure. Any approved credit transfer shall remain subject to supplier conditions, price differences, seasonal surcharges, and service availability at the time of rebooking.
Low Deposit Policy
Vietnam Asia Travel DMC requires a minimum deposit equal to twenty percent (20%) of the total booking value, or the full booking value if lower. The remaining balance must be paid no later than thirty (30) days prior to departure unless otherwise specified.
Cancellation Policy
Vietnam Asia Travel DMC does not impose separate administrative cancellation fees. However, the following cancellation charges shall apply:
- Cancellation made forty-six (46) days or more before the tour commencement date: forfeiture of one hundred percent (100%) of the deposit paid;
- Cancellation made forty-five (45) days or less before the tour commencement date: forfeiture of one hundred percent (100%) of the total booking value.
Please note that all domestic flight tickets included in the tour package are non-refundable unless otherwise stated by the applicable airline or supplier.
Any interrupted, shortened, unused, or voluntarily skipped services — including but not limited to missed arrivals, unused accommodations, transportation, sightseeing activities, meals, or tours — shall not entitle the client to any refund, credit, or compensation for any reason whatsoever.
CHANGES AFTER PURCHASE
Any changes requested after the booking has been confirmed and purchased are limited, subject to availability, and may not always be possible.
Unless otherwise agreed by Vietnam Asia Travel DMC in writing, any modification to a confirmed booking — regardless of its nature — may be treated as a cancellation of the original booking followed by a new booking. In such cases, the applicable cancellation charges and any additional costs imposed by third-party suppliers shall apply. The client will be informed of all applicable charges and additional costs prior to confirmation of the requested change.
Vietnam Asia Travel DMC reserves the right to amend, modify, or adjust the itinerary, accommodations, transportation arrangements, or other components of the tour where necessary due to changes in airline schedules, surface transportation operations, supplier requirements, weather conditions, government actions, safety considerations, or other circumstances beyond the reasonable control of the Company.
In the event that such modifications result in an increase or decrease in the overall tour cost, the price difference shall be calculated accordingly, and the client shall be responsible for any additional payment required or entitled to any applicable refund adjustment, as determined by the Company.
ISSUING TRAVEL DOCUMENTS
After receiving the deposit, we send the Confirmation Voucher within 48 hours after the deposit receipt. This Confirmation Voucher serves as the formal agreement between the Traveller and Vietnam Asia Travel DMC, outlining the agreed-upon services, terms, and conditions. By accepting the confirmation voucher, the Traveller acknowledges and agrees to abide by these Terms & Conditions.
The final documents for the trip including the domestic airfare will be sent after the full payment and in a time frame of 15-30 days before the arrival. If a Traveler provides incorrect information, Vietnam Asia Travel DMC does not assume any liability if the Trip is adversely affected or made impossible by the non-receipt of travel documents.
INSURANCE
Vietnam Asia Travel DMC strongly recommends that all Travellers purchase some form of Travel, Cancellation, Lost Baggage and/or Medical Emergency Insurance for the trip. It is your responsibility to understand the limitations of the insurance coverage and purchase additional insurance as needed. It is your sole responsibility to research, evaluate and purchase appropriate coverage. Vietnam Asia Travel DMC is not responsible for any uninsured losses.
PASSPORTS, VISAS, HEALTH REQUIREMENTS, AND TRAVEL RISKS
It is your responsibility to verify you have all the necessary visas, passport, and other required documents for travel. A passport valid until at least six (6) months beyond the scheduled end of the itinerary is required for all people travelling to our destinations. Your travel advisor may assist you in applying for the necessary travel documentation upon request. Vietnam Asia Travel DMC accepts no responsibility whatsoever for the failure of clients to obtain appropriate documentation.
You must carefully observe all applicable formalities and ensure that the surnames and forenames used for all passengers when making a booking and appearing in your travel documents (travel tickets, vouchers, etc.), correspond exactly with those appearing on your passport, visas, etc. You should take into account all international travel risks and familiarize yourself with health requirements applicable to the areas you intend to visit.
The Traveler is solely responsible for checking the safety and security conditions, vaccination, and other health requirements of governments in countries visited or transited. Some of Vietnam Asia Travel DMC tour packages include activities which require special precaution. Such activities include boarding and going ashore by boat, climbing hills, entering/exiting tombs and caves, etc. You will receive help and advice from our representatives, but all activities are undertaken at your own risk. Vietnam Asia Travel DMC, its employees and agents cannot be responsible for any action or event that occurs after set employees and agents have exercised their duty and taken the necessary measures.
LOCAL CUSTOMS AND LAWS
You should check the local customs’ rules and regulations. Vietnam Asia Travel DMC is not responsible for the client’s failure to comply with customs regulations. All Travelers must obey the local laws and regulations of the countries they visit on their Trip. Vietnam Asia Travel DMC is not liable or responsible for any damages, costs and/or added expenses incurred as a result of Traveler’s failure to obey any local, provincial, or federal laws, which may include arrest or detention.
Traveler understands that their participation in a Trip may be terminated if Traveler is disciplined by any civil or criminal authorities. In this event, Traveler is responsible for arranging and paying for substitute travel and Accommodations.
SPECIAL RULES REGARDING AIR TRANSPORT
Vietnam Asia Travel DMC shall not be responsible for any changes, cancellations, delays, missed connections, or disruptions relating to international flights arranged independently by the Traveler or by third parties. Travelers are required to notify Vietnam Asia Travel DMC immediately upon becoming aware of any changes to their international flight schedule so that airport transfer arrangements and related services may be adjusted where possible.
For domestic and regional flights arranged by Vietnam Asia Travel DMC, the general conditions governing air transportation and the applicable conditions of carriage of the relevant airline shall apply. Vietnam Asia Travel DMC’s responsibilities and liabilities relating to air transportation are strictly limited to those imposed under the applicable airline’s terms and conditions and governing laws.
The airline operating the flight may differ from the airline identified in promotional materials, itineraries, quotations, electronic brochures, advertisements, or booking documents. Such changes may occur due to operational requirements, airline partnerships, scheduling adjustments, or circumstances beyond the control of Vietnam Asia Travel DMC.
Vietnam Asia Travel DMC cannot guarantee or specify the aircraft type used by any airline. Airlines reserve the right to modify flight schedules, routes, departure times, aircraft types, or operational arrangements at any time without prior notice. Such modifications may affect the planned itinerary and may result in deviations from the original travel schedule or contractual arrangements.
Vietnam Asia Travel DMC shall not be liable for any losses, expenses, delays, missed services, or disruptions arising directly or indirectly from airline schedule changes, flight cancellations, operational decisions, or other actions taken by the airline or aviation authorities.
SPECIAL RULES REGARDING ACCOMMODATIONS
Prices of Accommodation are based on double occupancy unless described otherwise. If you prefer single Accommodations, some Accommodations require you to pay a single supplement fee which can vary depending on the Accommodation.
The accommodation quoted in the trip offer is subject to availability, if the rooms are not available at the time of booking Vietnam Asia Travel DMC will offer alternative options. The check-in time at most of the hotels is 14:00 and the check-out time is 12:00. Some accommodations may require a security deposit which is refundable upon checkout.
LIMITATION OF LIABILITY
Except as otherwise set forth herein, Traveler hereby releases Vietnam Asia Travel DMC from any and all liability, loss, expense, damages, or claims arising out of or resulting from Traveler’s participation in a Trip, whether caused by the negligent, intentional, or reckless conduct of Traveler, a Service Provider, a provider of Accommodations, another third party, or otherwise.
Vietnam Asia Travel DMC shall not be responsible for any wrongful or negligent acts, omissions, or the failure of any equipment operated by any suppliers such as transportation carriers, cruises, hotels, or any other party not directly owned or controlled by VNA Travel DMC. VNA Travel DMC is not responsible for the stealth and loss of any valuable item or belonging that is due to the negligence of the customer. VNA Travel DMC reserves the right to substitute hotels, flights, or cruise ships, to alter itineraries, or to cancel the tour prior to departure. If VNA Travel DMC has canceled any tour prior to the commencement of the tour, Vietnam Asia Travel DMC is liable for a full refund of the money received by VNA Travel DMC.
FORCE MAJEURE
In the event of Force Majeure, the Company shall not be liable for any failure or delay in the performance of its obligations, nor for any loss, damage, or additional expenses incurred by the client as a result. The client shall not be entitled to claim compensation or damages arising from such circumstances.
“Force Majeure” refers to any event beyond the Company’s reasonable control, including but not limited to natural disasters, severe weather conditions, fire, flood, earthquakes, war, civil unrest, government actions, epidemics, pandemics, official advisories, and widespread disruptions to transportation or supply chains, including shortages of essential resources (such as fuel), where such shortages arise from events beyond the Company’s reasonable control.
Force Majeure shall also include any event that materially affects the client’s ability to commence or continue the trip, including but not limited to flight cancellations, airspace closures, border restrictions, or travel disruptions caused by conflict, geopolitical tensions, or government-imposed measures in transit or destination countries. The inability of the client to reach the departure point or destination due to such events shall be treated as a Force Majeure event and shall not be considered a standard cancellation.
The Company reserves the right to cancel, alter, curtail, or extend any services due to Force Majeure. In such cases, no refunds or compensation shall be provided, except for any recoverable amounts obtained from third-party suppliers. The Company may, at its discretion, use reasonable efforts to assist in rescheduling services or securing supplier credits where possible. Clients are strongly advised to obtain comprehensive travel insurance to cover such events.
DISPUTES – GOVERNING LAW, JURISDICTION, ETC
These Terms and Conditions and the relationship between Traveler and Vietnam Asia Travel DMC will be governed by the laws of Vietnam, where our head office is located.
COMPLAINTS AND CLAIMS
If you experience any dissatisfaction with the services provided by Vietnam Asia Travel DMC (before or during your trip), please inform your local tour guide or travel advisor immediately.
Prompt notification will help us address the issue quickly and prevent similar problems from occurring throughout your journey. In the event of a complaint or claim for compensation, you must inform us by email, regular mail, or facsimile in writing within 15 days from the end of your tour. Relevant receipts and substantiating evidence must be attached to the letter of claim. Vietnam Asia Travel DMC will not be liable for any claims made later than 15 days after the completion of your tour.
MARKETING MATERIALS
Realistic Asia endeavours to illustrate the Services it offers using photographs or illustrations that provide a realistic representation of the Services offered. However, please note that photographs and illustrations appearing in descriptions are for illustrative purposes only. We do not guarantee that all locations will look exactly like in the photo.
VNA Travel DMC may occasionally use statements made by our Travelers and/or their photographs, images, or other likenesses, in various marketing materials, on our website, or at promotional events. Traveler fully consents to such use of Traveler’s statements and/or their photographs, images, or other likenesses, for marketing or promotional purposes without the payment of any compensation to Traveler and grants Realistic Asia a non-revocable license for said use.
MODIFICATION OF OUR TERMS AND CONDITIONS
Vietnam Asia Travel DMC reserves the right to amend, revise, update, or modify these Terms and Conditions at any time without prior notice. Any such amendments or modifications shall apply only to bookings made after the effective date of the updated Terms and Conditions and shall not affect bookings confirmed prior to such changes, unless otherwise required by applicable law.
Travelers are responsible for reviewing and accepting the Terms and Conditions in effect at the time of making a booking. Clients are encouraged to review these Terms and Conditions periodically, particularly before placing a new booking, as the provisions may have changed since their previous booking or last review of the Terms and Conditions published by Vietnam Asia Travel DMC. By proceeding with a new booking after any updated Terms and Conditions become effective, the Traveler acknowledges and agrees to be bound by the revised version then in force.
